We offer complete service packages which are overseen by the law firm of Peyton & Associates to assure that your condo association matters are carried out in accordance with the law. These legal services are included free of charge with your service package.
All of our administration packages may include online cloud software which can be accessed by you or completely delegated to our staff. Our goal is to accommodate to your needs and structure our services accordingly.
If your condo regime is not new, we would review and organize your current outside service providers for a hassle free transition. If new service contracts are necessary we would assist in contracting those services with oversight from Peyton & Associates.
The day to day administration of the condo regime would be coordinated with your on-site administrative personnel through our condo management software and our office. Once we are able to input your individual condo unit owner’s information the software allows for to:
- Maintain and pay the property’s service providers including maintenance and repairs
- Maintain and pay the property’s employee salaries
- Collect monthly condo due from unit owners
- Provide accounting and bookkeeping for all transactions
- Generate reports for the condo administrator of vigilant committee
The package also includes guidance for the condo administrator and surveillance committee to carry out and legally document annual condo assemblies to assure compliance with the applicable laws and regulations. All other legal questions regarding issues which may arise regarding the property or its unit owners will be addressed free of charge by the law firm of Peyton & Associates.
Communications with condo unit owners and administration is done online or by telephone depending on the need. A record of all communication, both with condo unit owners as well as the property administrator, or vigilance committee, is maintained, therefore, in the event of miscommunication, one can access any phone conversations with homeowners, board members, tenants, and vendors that are tracked. Communication histories can be included in monthly management reports to the vigilance committee to keep them up to date with their community. All communication items are recorded with the date, time, recipient, and sender to accurately record communication.
CC&R Violations and Architectural Requests, if needed, can be submitted and a written response would be sent directly to the interested party. All such requests and all correspondence is recorded for future reference. Any legal issues would be directed to the law firm of Peyton & Associates which would report back to the surveillance committee or administrator.
Collection of outstanding condo dues can be tracked and delinquent condo unit owners can be subject to a collection process. The degree and type of process would be explained by the law firm of Peyton and Associates, and, the surveillance committee, or administrator, can determine if any legal action is required.
